What does a learning management system do?
Every LMS handles four jobs.
- Build: create courses, learning paths, certifications, and assessments, either natively, with an inline authoring tool like Intellum Evolve, or via integration.
- Deliver: get that content to the right learner at the right time, on any device, online or offline, in any time zone.
- Manage: enroll learners, assign required training, issue and renew certifications, and run live events alongside self-paced courses.
- Measure: track enrollment, progress, completions, and assessment results, then report them against the outcomes the program exists to move.
The fourth job is where platforms separate now. Completion reports inside a vendor dashboard are table stakes. The question buyers put to us in evaluations is whether event-level learning data (every individual learning action, not just a completion tally) can leave the LMS and land in the company's own BI environment, the data warehouse where it already tracks revenue.
What are the types of LMS?
LMS platforms differ most in how they're hosted and licensed. Four labels cover the market:
- Cloud / SaaS: hosted by the vendor and sold as a subscription, with updates handled for you. The default for most organizations today.
- Installed / on-premises: hosted on your own servers under a perpetual or long-term license. More control, more IT overhead.
- Open-source: free to license and fully customizable, but you supply the development, hosting, and maintenance.
- Enterprise: less a hosting model than a capability tier, built for scale, multiple audiences, and procurement scrutiny (covered below).
Who uses an LMS?
Organizations use an LMS to educate three audiences: employees, customers, and partners. The distinction matters more than most feature lists.
- Employees: onboarding, role-based skills, field readiness, and required training. Employee education is where most organizations start.
- Customers: product onboarding, academies, and customer education programs that drive adoption, retention, and expansion.
- Partner training and certification prepares resellers and integrators to represent the product.
Some platforms serve one audience. Enterprise platforms serve all three from one system of record (the single place a learner's history lives), so a course built once can appear in the employee path, the customer academy, and the partner certification, instead of three teams building it three times in three tools.
The economics behind this shifted. In Intellum's 2026 Education-Led Growth Report, original research surveying 190 education professionals, 81.6% of organizations said revenue growth is a primary goal of their education program, ranking it above performance, retention, and cost reduction. Education programs are no longer scoped as a cost of doing business; they carry revenue targets. Is Canvas, Moodle, or Google Classroom an LMS?
Yes. Canvas, Moodle, and Google Classroom are learning management systems built for schools and universities. They manage courses, assignments, grades, and enrollment for academic instruction. Corporate and enterprise LMS platforms do the same core jobs for a different purpose: training employees, customers, and partners against business outcomes, not coursework and grades.
The distinction matters when you're buying. An academic LMS is organized around a class, a term, and a grade. An enterprise LMS is organized around a program that has to show business results, serve more than one audience, and connect to the systems the company already runs on. Moodle and Blackboard anchor the academic side. The platforms in this guide are built for the corporate and customer-education side. If you're educating employees, customers, or partners with revenue or retention attached, you're shopping for the second kind.
What kinds of learning can an LMS deliver?
Common formats include courses, tutorials, certifications, instructor-led training (ILT), and virtual instructor-led training (VILT). Many organizations also run live events through the LMS: webinars, workshops, large meetings, and user conferences, with the platform handling registration, delivery, and the attendance record.
Courses themselves can carry interactive elements like flip cards, carousels, embedded video, and assessments.
Delivery is also getting more personal. Adaptive platforms track learner progress, engagement, and performance, then adjust the path automatically. What are the benefits of an LMS?
The benefits of an LMS fall into six categories: cost savings, convenience, time savings, learner engagement, knowledge retention, and compliance.
- Cost savings: one platform replaces classrooms, printed materials, and the duplicate content work that happens when separate teams maintain separate tools.
- Convenience: learners take training when and where they need it, on a computer or phone, with offline access where connectivity is unreliable.
- Time savings: personalized learner homepages surface the right content, and trainers point people to the platform instead of assembling materials for every session.
- Learner engagement: interactive content, community features, and gamification give learners reasons to come back. Learner drop-off remains the most common program challenge.

A seventh benefit has earned its place: proof. How is AI changing the learning management system?
AI is changing the LMS on two levels. Teams now use it every day to build content and support learners, and the platform itself is going AI-native, with capabilities built into the architecture instead of bolted on through an integration. The first shift is about who does the work; the second is about what the platform can do.
On usage: 92.6% of education teams already use AI, according to Intellum's 2026 Education-Led Growth Report. The most common uses are practical: teams draft content faster (69.9%), automate learner support with chatbots (65.3%), and plan what to build next (65.3%). People are using AI to do more of the work they already do, not to hand the program over to it.
For scale: Forrester projected in 2024 that 99.6% of organizations expected to be using AI by 2026. Intellum's 2026 data shows most education teams are already there.

What is the difference between an LMS, an LXP, and an LCMS?
An LMS is the structured system: assignments, certifications, required training, and the authoritative record of who completed what. A learning experience platform (LXP) is learner-driven, curating and recommending content, often from many sources, with the emphasis on discovery over assignment. A learning content management system (LCMS) sits a layer down from both, built for authoring and managing the content itself: create, store, reuse, and update learning objects.
The short version: an LMS delivers and tracks learning, an LXP curates and recommends it, and an LCMS builds and manages the content behind it.

An enterprise LMS is a learning management system built for the scale and scrutiny of a large organization. Many vendors apply the label loosely, so here is how we define it at Intellum, by capability, not company size (and how we rank the best enterprise LMS platforms separately).
- One instance, every audience: employees, customers, and partners served from a single platform, with branding, access, and reporting segmented per audience.
- White labeling: a customer academy that carries your brand, not the vendor's.
- Integrations with the systems the business already runs on: CRM, support, single sign-on, and the data warehouse.

How do you choose the right LMS?
Choosing an LMS comes down to three steps: define the business objectives, build an RFI, and calculate total cost.
1. Start with your business objectives.
A small employee base with required-training needs can get by with a lightweight tool. A company educating customers and partners, with revenue goals attached, needs a platform that segments content by audience and scales. Pinpoint your version by interviewing stakeholders across the company: what goals they are working toward, whether education can move those goals, what content already exists, and why it was built.
2. Build an RFI before you talk to vendors.
An RFI (request for information) lists the features and functionality you need, so vendor conversations test fit instead of absorbing pitches. (Some teams issue a more formal RFP, request for proposal, a different document, but the discipline is the same: decide requirements before the demo.) What to put on your evaluation checklist.
An RFI is only as strong as the criteria in it. The features that separate platforms once past the basics:
- Multi-audience support: can one instance serve employees, customers, and partners, with branding, access, and reporting segmented per audience?
- Proven at your scale: has the platform run at the size your program is headed toward, under the demands that come with it? 3. Add up the total cost of ownership.
Calculate the subscription, licensing, implementation, and ongoing maintenance. Then ask the questions that surface later costs: how overages are billed when you add more users than contracted, what happens when monthly user counts fluctuate, and how pricing moves as the organization grows.
LMS red flags to watch for.
Some costs and constraints surface only after signing. Watch for:
- Pricing that restricts growth: steep overage fees and per-feature upcharges for capabilities that should be standard.
- Service that thins out after the sale: attentive during the evaluation, hard to reach once you have signed, or gated behind a higher tier.
- AI claims on everything: when every line of a feature list suddenly carries an AI label, the questions that matter get buried. Which capabilities run natively inside the platform, what learner data they read, and where that data goes. Ask those. The answer separates a platform with AI from a brochure with the word in it.
- Data lock-in: no clean way to export your learners, content, or records if you leave.
- "Enterprise" as a label with nothing behind it: one audience, thin integrations, no data portability.

What are the challenges of implementing an LMS?
Most LMS implementations struggle in four places: learner adoption, integration with existing systems, content and record migration, and proving the program worked. None of them is a problem you can buy your way out of with a feature. Each is a decision the buying team makes before the contract is signed.
- Adoption. A platform nobody signs into reports nothing. Learner drop-off is the most common program challenge, so the launch plan carries as much weight as the feature list: who hears about the program, why they come back, and what the training does for them.
- Integration. An LMS that cannot read from the CRM, the support tool, single sign-on, and the data warehouse leaves administrators re-keying data and rebuilding reports by hand. Confirm the integrations against your stack before you buy.
- Migration. Moving content, learner records, and certifications off the old system is the work teams underestimate most. Scope it early: what transfers cleanly, what gets rebuilt, and how learners are moved over without losing their history.
- Proof. A program that cannot show its effect on retention, adoption, or revenue is the first line cut when budgets tighten. Measurement belongs in the requirements, not the post-mortem.
