Salesforce integration for training data
Sales and customer success teams report on training next to Salesforce accounts, contacts and leads. Intellum sends users, activities and enrollments to Salesforce every night. A Salesforce admin installs the package and an Intellum admin authorizes it.
Common uses of the Salesforce integration
- Customer success managers filter enrollment and completion by Salesforce account or contact.
- Sales and customer education leaders build Salesforce dashboards that show training metrics.
- Operations leads pass training data from Salesforce on to marketing automation and customer success tools.
How the Salesforce integration works
Intellum turns the integration on for your site. A Salesforce admin installs the Intellum Learning Platform package from AppExchange, points it at your site URL, activates it and adds tabs for Intellum users, activities and enrollments. An Intellum admin then authorizes the connection in Settings › Apps.
The first sync loads existing records. Each nightly sync after that sends only changed records, matched on an Intellum identifier. Most organizations add Apex triggers to link Intellum users to Salesforce contacts, leads or users.
How to set up the Salesforce integration
A Salesforce admin installs and configures the package. An Intellum admin authorizes the connection. Your team builds the trigger mappings, ideally with a Salesforce developer.
- Salesforce admin access
- An Intellum admin with unrestricted rights
- Intellum turns the integration on for your site
Salesforce admins install the package from the Intellum Learning Platform listing on AppExchange.
How the Intellum and Salesforce integration handles access and data
- Authorization: Salesforce OAuth, granted by an Intellum admin in Settings › Apps.
- Personal data: learner personal data, including contact and profile fields, moves into Salesforce custom objects.
- Record handling: the integration never deletes Salesforce records, never creates or matches contacts on its own and never removes duplicates.
- Trigger code: must handle bulk nightly loads.
- Revoked access: revoking access in Salesforce stops the sync until someone authorizes it again.
What to know about the Salesforce integration
- Data arrives nightly, so it can be up to a day old and cannot drive instant follow-up on completions.
- Records removed in Intellum stay in Salesforce.
- The synced field set is fixed. Two-way sync of users and enrollments runs through Workato or the Intellum API.
Questions about the Salesforce integration
Yes. Intellum syncs users, activities and enrollments into Salesforce as custom objects through an AppExchange package. Sales and success teams then report on training by account, contact and lead.
Not with the standard package, which pushes data one way from Intellum to Salesforce each night. A separate configuration can create Intellum users from Salesforce contacts. For two-way sync of users and enrollments, organizations use Workato, the Intellum API or an integration partner.
Use Salesforce for reporting and Intellum for the learning. Intellum delivers the training and sends users, activities and enrollments into Salesforce each night, so CRM dashboards show training next to accounts and contacts.
Up to a day old. Intellum sends changed records every night, so the data suits dashboards and account reporting but cannot trigger instant follow-up when someone completes a course.
No. It writes Intellum users, activities and enrollments as custom objects and never creates, matches or deduplicates contacts on its own. Most organizations add Apex triggers to link Intellum users to contacts, leads or users.
