SFTP file transfer for user and report data

Admins and IT move user and report data in and out of Intellum in scheduled batches through your site’s SFTP folder, with no API integration to build. Intellum imports user files on a schedule, and admins save recurring report exports there.

How it connects
Native via site folder on Intellum’s SFTP server
Who sets it up
Intellum for imports, admins for exports
What moves
Two-way: user files in, reports out

Common uses of SFTP file transfer

  • HR operations leads send a nightly new-hire file that creates and updates Intellum users.
  • Analysts receive a recurring report export that feeds the organization’s BI tool.
  • Admins load historical user data into Intellum in one bulk import.

How SFTP file transfer works

Each site has its own folder on Intellum’s SFTP server. For data coming in, Intellum Customer Care sets up a custom user import that runs on a schedule, such as nightly. The file can include any subset of user fields in any order, as long as each row has a user code.

For data going out, admins schedule recurring report exports from the legacy reports page. Exports land in the same folder as CSV, Excel, PDF, HTML or XML files.

How to set up SFTP file transfer

Intellum Customer Care configures scheduled user imports. Admins schedule outbound report exports.

  • A user code on every user
  • SFTP access to your site’s folder

How Intellum SFTP file transfer handles access and data

  • Connection: SFTP to a site-specific folder on Intellum’s server.
  • Personal data: user files carry personal data, such as names and profile fields, into Intellum.
  • Blank values: blank values in update files can overwrite existing data, so send complete rows.
  • Field names: imports depend on field names. Renaming a field can break a scheduled import.

What to know about SFTP file transfer

  • Transfers run in scheduled batches, such as nightly.
  • Intellum configures scheduled user imports, and that setup can carry a cost.
  • Scheduled report exports run from the legacy reports page and are unavailable on sites using the newer reports list.
  • For complex needs, an API integration holds up better than file transfer.

Questions about SFTP file transfer

Should we use SFTP or the Intellum API?

SFTP suits scheduled batch files and simple user imports. For complex needs, the Intellum API holds up better, since file imports are sensitive to field-name changes and run only in batches.

Yes. Intellum Customer Care sets up a custom user import that runs on a schedule, such as nightly, from your site’s SFTP folder. Every user needs a user code, and blank values can overwrite existing data.

Yes. For a one-time historical load, Intellum Customer Care sets up a custom user import from your site’s SFTP folder. Admins can also run a standard CSV user import from the Users page, and every row needs a user code.

Yes. Admins schedule recurring exports from the legacy reports page, and each file lands in your site’s SFTP folder as CSV, Excel, PDF, HTML or XML. Sites on the newer reports list can’t schedule exports.
